Recruitment Privacy Notice
MC Squared Partners Limited
Last updated: 5th September 2026
Introduction
This notice explains how MC Squared Partners Limited (“MC Squared”, “we” or “us”) uses personal information about applicants and candidates for employment, fixed-term and associate or contractor opportunities.
Information we collect
When you first apply or are introduced to us, we normally collect your contact details and CV.
If you progress through our recruitment process, we may also collect:
-
employment history, qualifications and professional experience;
-
interview notes and assessment information;
-
references;
-
availability, location and travel preferences;
-
day rate, limited-company and proposed engagement information; and
-
identity, right-to-work and relevant screening or vetting information.
We will only collect health or disability information where you request an adjustment to the recruitment process or where it is otherwise necessary and lawful.
Where information comes from
We may receive information directly from you or from recruitment agencies, personal referrals, LinkedIn and other publicly available professional sources. Where we have not obtained your information directly from you, we will normally tell you the source when we first contact you.
How and why we use your information
We use personal information to:
-
communicate with you and manage your application;
-
assess your suitability for employment or associate opportunities;
-
conduct interviews, assessments, references and end-of-process checks;
-
maintain a pool of suitable candidates for future opportunities;
-
agree and submit an associate profile for a potential client assignment;
-
make and administer offers or engagements;
-
comply with legal and regulatory obligations; and
-
maintain appropriate recruitment records and deal with potential legal claims.
Our principal lawful basis is our legitimate interest in recruiting suitable employees and associates and managing our candidate pool. We may also process information to comply with legal obligations or, where an offer has been made and accepted, to take steps to enter into an employment or engagement contract.
Where necessary, we process health information to make recruitment adjustments and meet our employment-law obligations. Criminal-record information will only be processed where relevant to the role and permitted by law.
You are not required to provide personal information to us. However, we may be unable to consider your application or confirm an appointment if you do not provide information reasonably required for the recruitment process or necessary checks.
We do not make recruitment decisions based solely on automated processing.
Sharing your information
We may share relevant information with:
-
MC Squared personnel involved in recruitment;
-
recruitment, IT, professional and screening or vetting service providers;
-
referees and relevant regulatory or public authorities; and
-
prospective clients considering an associate for an assignment.
We will only share an identifiable CV or profile with a prospective client after agreeing this with you.
Some service providers may process information outside the UK. Where this happens, we use an applicable adequacy decision or approved contractual safeguards. You may contact us for further information about these safeguards.
How long we retain information
We normally retain information about unsuccessful and speculative candidates for up to 12 months after the recruitment process ends or our last meaningful contact with you. This allows us to consider suitable candidates for future opportunities and maintain appropriate recruitment records.
If you are appointed or engaged, relevant information will become part of your employee or associate record. Detailed vetting information will be deleted when no longer required, although we may retain the outcome of a check and any evidence that must be retained by law.
Your rights
Depending on the circumstances, you may have the right to ask us to:
-
provide a copy of your personal information;
-
correct inaccurate information;
-
delete or restrict our use of your information; or
-
stop processing your information where you object to our legitimate interests.
To exercise your rights, withdraw from consideration or ask us to remove you from our candidate pool, contact info@mcsquaredpartners.com.
You may also complain to the Information Commissioner’s Office at www.ico.org.uk.
